Auto Approve was better able to understand their own process and focus on several areas of improvement. By prioritizing the deployment of even small, functional components, we gathered vital feedback and identified early-stage issues.

Challenge

Auto Approve recognized the need to streamline their end-to-end processes. Their goal was to gain a comprehensive understanding of their business. 

In the past, Auto Approve relied heavily on manual processes. Employees were tasked with tracking auto titles and managing information using spreadsheets—an approach that posed numerous challenges. Unfortunately, these obstacles led to extended title processing times, often exceeding 100 days. These delays not only impacted customer satisfaction but also exposed Auto Approve to potential penalties for missed deadlines.

The complexity of title processing management was compounded by the involvement of seven teams, each consisting of five individuals. This significantly increased the chances of errors, miscommunication, and data management inconsistencies.

Our collaboration included three main phases:

  • Software Development and Infrastructure
  • User Adoption and Training

Auto Approve was better able to understand their own process focus on several areas of improvement. By prioritizing the deployment of even small, functional components, we gathered vital feedback and identified early-stage issues.

Together, we utilized vertical slices of work, ensuring seamless integration between front-end and back-end components. This approach allowed the Auto Approve employees to directly experience feature functionality on the user interface, knowing it was fully supported on the back-end. Aligning project progress with the client’s comprehension fostered effective decision-making throughout the engagement.

The above image shows one part of a very large and complex process Auto Approve was navigating. Integral led a collaborative effort to build a custom automated experience to relieve the pain of time-consuming, manual work.

  • Collecting feedback from team members that resulted in influencing this custom experience
  • Data integrations
  • Integrations with a third party
  • UX/UI Design

We continued working with employees through the adoption and training phase, ensuring that we had a constant feedback loop—a process that allowed for faster updates to the system as challenges arose.

Above is a draft of the custom-built interface for Auto Approve team members. Considering this team had so much data and time controls to be simplified, the team kept an open, continuous loop of feedback with the end users of this product.

Impact

Saving time and money

Auto Approve had a very manual process. Titles Engine is a concise and easy-to-use screen. Together we reduced the time it takes Auto Approve employees to begin working on title orders. 

In the interest of protecting our client’s financial information, the below are assumed numbers based on the real foundation of our work. 

>> Before Titles Engine: It took 12 minutes for Auto Approve team members to start executing on title orders.
>> After Titles Engine: 4 minutes to start executing on title orders. A time saving difference of 8 minutes.

Let’s assume that 1 minute = $10 of cost in titles department and there’s 35 team members. This means that those 8 minutes saved, earned the Auto Approve team back some major dollars amounts in this case.
